Mentoring Program
Strategically Connecting to Materialized Dreams Advisory Board Positions and Descriptions
MAB Cabinet Members
(7 Voting Positions- 3 chair, 4 non-chair positions)
Each individual member of the MAB is responsible for ensuring effective operations, providing leadership, advice, and directions to the staff of the Mentoring Program. Each member should also be cognizant of their fellow peers and make decisions based on the overall good of the mentoring program and all of its participants.
Responsibilities:
- To approve/ determine the policies and operation plans of the MAB
- To elect a Chair of the MAB, Vice Chair, and Communications Chair
- To attend and actively engage in all meetings of the MAB
- To actively participate in mentoring program activities
- Support the mission, goals and initiatives of the Mentoring Program
Chair
(1 Cabinet Position)
The Advisory Board Chair shall be the chief elected officer of the Mentoring Program Advisory Board (MAB).
Responsibilities:
- Act as the principal spokesperson for the MAB
- Prepare agendas for MAB meetings (works with Program Coordinator)
- Preside over all MAB meetings
- Maintain current knowledge of Mentoring Program activities
- Ensure MAB follow through between program participants and staff on all assigned tasks
- Assist in orientation of new MAB Members
- Perform all duties incident to the office of the Chair as may be prescribed by the MAB from time-to-time
- Maintain communications and records with Mentoring Program staff and file an annual report (with an option of filing a quarterly report)
- To assure representation at designated Mentoring Program staff meetings
- Coordinate all activities of the MAB under the directions of the members
Vice Chair
(1 Cabinet Position)
In the absence of the Chair, the Vice Chair shall act as the Chair at business meetings of MAB and shall coordinate all activities of the MAB with the directions of its Members.
Responsibilities:
- Assume all powers and duties of the Chair, in case of the Chair's absences or inability to act.
- Orient her- or himself to all duties and responsibilities of the Chair.
- Serve as substitute when the Chair is not available MAB meetings.
- Perform other duties as assigned by the Chair.
Communications Chair
(1 cabinet Position)
The MAB Communication chair oversees the MAB record keeping and correspondence ensuring compliance with relevant provisions and guidelines set by the Mentoring Program office and staff.
Responsibilities:
- Keep the minutes of the meetings of the MAB
- Ensure that the minutes are posted in a timely manner and circulated to members and mentoring program staff via email
- Keep a register of the contact information of each MAB Member (the address of which shall be furnished by each Member)
Retain copies of important MAB Documents - Monitor and update the Constitution when relevant Board resolutions are adopted
- Perform all duties incident to the office Communications Chair and such other duties as from time-to-time may be assigned by the Chair of MAB.
- Stay in communication with the Mentoring Program Staff of the activities, decisions, and other significant matters of the MAB
The ‘Chair Positions’ are held only by Cabinet Members
General MAB Members
(Unlimited Non-Voting Positions)
Each general member of the MAB is responsible for representing the mentoring program participants, voicing concerns and opinions in a productive fashion to enhance the program and its initiatives. Each Member should also be cognizant of their fellow peers and give input based on the overall good of the mentoring program and all of its participants.
Responsibilities:
- To provide input to the cabinet members that supports decision making
- To attend and actively engage in all meetings of the MAB
- To actively participate in mentoring program activities
- Support the mission, goals and initiatives of the Mentoring Program.
Overseeing Units
Mentoring Program Coordinator
The Coordinator of the Mentoring Program is to provide overall leadership to the Advisory Board.
- Oversee the development and implementation of the Board goals, objectives and strategies
- Organizes monthly board meetings (establishing a time & place) and disseminating that information.
- Prepares MAB meeting agendas (works with Chair)
- Maintains and disseminates appropriate Board information/resources via the list serve, web site and databases
- Work to provide systems and controls so that committee records are protected for long-term safekeeping Mentoring
Program Graduate Assistants
The graduate assistants of the Mentoring Program are to assist the coordinator in the above functions and are to aid in any other areas that may arise, or as the program coordinator may see fit.
